Why small stands cost more per square metre

Why is the rate per square metre higher on small stands?
Part of a stand’s cost does not grow with the floor area. Concept design, the technical drawing set, production set-up, the freight vehicle and the crew’s travel and accommodation exist on a twelve square metre stand just as they do on a hundred. As the area shrinks, those fixed items are divided over fewer square metres and the unit rate rises. This is not a pricing choice but a direct result of the cost structure. A small stand quote can only be compared with another quote for the same footprint.
The items that do not scale
A stand quote contains two kinds of item. The first grows with the area: structure, wall panels, flooring, the number of fittings, square metres of print. The second does not. Concept design, the 3D visual, the technical drawing set, production set-up, the freight vehicle and the crew’s travel and accommodation all sit in the second group. A designer still sits down and draws for a twelve square metre stand, a vehicle still leaves the yard, a crew still stays in a hotel.
The total is the sum of both groups. As the area shrinks the first group shrinks with it and the second stays where it is. Once you divide, the rate per square metre goes up. The upper end of the range on our pricing page generally belongs to small stands and the lower end to wide floors. The same tendency holds across suppliers working to the same standard.
This is why comparing a small stand quote against a large stand’s unit rate misleads. The comparison that means something is between two quotes for the same footprint. It also helps to ask for the fixed items as separate lines, so you can see which part of the price actually depends on the area.
The second problem: density
A small stand does not have less to do. It needs product display, room for at least two people to talk standing up, storage for catalogues and coats, and sometimes a place to serve coffee. Fitting all that into twelve or sixteen square metres happens through bespoke joinery, not off-the-shelf sizes.
Bespoke joinery removes the advantage of making things in series. Instead of a panel at standard width you get a panel cut to size; instead of a stock display case, one made to fit. The part count is low, but every part is drawn, cut and fitted on its own.
So the cost of a small stand usually comes from labour rather than material. The way to bring it down is not to cheapen the material but to reduce the number of functions being squeezed in. A small stand that solves three things well is both cheaper and more effective than one compressing five.
Setting the budget on a small footprint
The first decision is the stand type. On a small footprint a reusable system is the most practical way to spread the fixed cost across several fairs: at the second show you pay only for graphics and freight. Our stand types page sets out how many fairs each type is built for.
The second is the number of open sides. Keeping the area the same but taking a corner position eases the design and makes the interior feel larger. The organiser charges extra for a corner, and that charge often buys more than spending the same money on the stand itself.
Third comes the graphic load. One message readable from a distance does more work than three in small type. Rather than adding printed square metres, getting a single surface right improves the budget and the visibility of the stand at once.
Finally, furniture. On a small plot, hiring tables and display cases instead of building them cuts both freight volume and workshop hours. The budget that frees up moves to the structure and the lighting, which is the part visitors notice anyway.
Does a custom design make sense on a small stand?
If you exhibit once a year, usually not. From three fairs upwards, a reusable custom design drops below the cost of hiring after the first show.
How much does a larger area lower the unit rate?
The drop is sharp at first, then flattens. Once the fixed items are spread, further area starts to add material and labour more or less linearly.
