How does a venue constrain stand design?
Every venue publishes its own technical manual, and that document draws the boundaries of the design. Five headings appear everywhere: the maximum stand height allowed, whether anything may be hung from the roof, what load the floor will carry, the fire class required of materials, and the time allowed for build-up and tear-down. The values behind those headings differ by venue and often by hall, and they are reissued each edition. So the manual is read before design starts, and read in the edition belonging to that particular show.
What the manual tells you
The technical manual holds every rule the venue places on stands. Inside it sit stand height, the treatment of surfaces facing a neighbour, rigging conditions, how power is connected, what may be done to the floor, the fire class required of materials, and the waste rules. It also states the date by which approval drawings are due.
The feature most often missed is that it is reissued each edition. Working from last year’s manual is working from an unverified assumption, and different halls at the same venue can carry different values.
Read it in this order: height and rigging first, then the floor, then power, materials last. The first two decide the stand type outright. Take notes as you read and reduce the clauses that bind the design to a single page; the manual is long and not all of it applies at every fair. That summary goes to both the designer and the site foreman. The same page then works as a checklist while the approval file is assembled.
Same design, different hall
Designing a reusable stand around one venue’s conditions can make the system unusable at the second fair. A superstructure that will not fit a low hall, a sign that cannot be hung where rigging is not allowed, a platform that cannot be fixed where the floor may not be touched — any one of them blocks the whole design.
The answer is to build the system modular and to design alternatives for the critical parts. A hanging sign gets a free-standing version, a tall fascia gets a lowerable one, both drawn from the start.
This is a question for the design stage: which venues will this stand go up in? If the answer is more than one, work to the conditions of the most restrictive. That looks over-cautious at the first fair, but it extends the life of the system. The alternative is rebuilding before the second show, which wipes out everything reuse was supposed to save. Drawing alternatives for the critical parts does not lengthen the design; it is settled in the same meeting.
Time is a constraint too
Venues allow a defined window for build-up and tear-down, and it varies with the size of the fair, the order of the halls and whatever ran before. A short window limits what can be done on site: anything that has to be painted, dried, or measured and cut in place will not work.
So the tighter the window, the more of the build has to finish in the workshop. Pre-assembly, numbered parts and joints that need no on-site measurement are the standard answer at venues with short windows.
Tear-down carries the same constraint, usually harder. There is a stated hour by which the hall must be clear, and missing it can be chargeable. We plan on-site time as its own line within our service scope. The constraint also sets the crew size, though adding people is not always the answer; past a point, more bodies in the same area slow the work down. Divide the build sequence into hours instead, and write down who does each stage.
Who reads the technical manual?
The designer and the site foreman together. The exhibitor should know the height, rigging and build-hour sections as well, because they affect the budget.
Will a non-compliant design be approved?
No. Approval drawings are rejected and a revision requested. When that comes back after production has started, it is the most expensive delay there is.
